CREATING A SUPPLY CAPSULE

Shippingbo offers you the possibility of creating your own supply capsules for your restocking.

NOTE

As of today, it is posible to create supply capsules from : 

- the Shippingbo interface

- via API

- by CV upload

- with an SFTP connection

 

NOTE 

The supply capsule feature is automatically activated for the Shippingbo packs that support it.

If you need to deactivate it, go to the menu Configuration -> Logistics -> Supply Capsule -> uncheck "Enabled" : 

 

Creating a supply capsule from the Shippingbo interface

 

Step 1 : In order to create a supply capsule directly from the interface, go to the menu Stock -> Supply Capsules -> New supply capsule : 

Step 2 : Fill in the following fields with the information required : 

  • Source reference (required): enter the source reference for yoursupply capsule (e.g. delivery note number).
  • Reception date (required): fill in this field to indicate a reception date
  • Supplier name (required): represents the name of the supplier 
  • Supplier code (required): represents the supplier code
  • Intended for : This box only concerns you if you use a multi-Shippingbo system and the expected goods are to be sent to your logistics provider. In this case, you can select the desired WMS base here.

 

Adding a product in a supply capsule via the interface 

 

Step 1 : Enter the details of the supply capsules you just created : 

 

Step 2 : In order to add a product, click on "Add a product" : 

You will then need to fill in 3 fields:

  • Source reference: Corresponds to the value that will be scanned to receive the product (example: if I scan the barcode of the product on receipt to account for it, then I must indicate the product barcode as the source reference).    
  • Product reference: Corresponds to the SKU of the product on Shippingbo.    
  • Expected quantity: Corresponds to the quantity of the product to be received.

Once all the products have been added to the supply capsule, you must check that each line of the capsule contains a value in the Associated product column, otherwise the supply capsule will not function correctly.

If the matching product field is empty, this means that the Product reference does not correspond to any SKU in the Shippingbo product catalogue :

 

Step 3 : Once you have correctly completed the supply capsule, click on "Save".

If you are working with a Multi-Shippingbo account, or if you are working with a logistician, then the supply capsule will change to the Disptched state. Otherwise, it will go into the Waiting state. 

 

Creating a supply capsule by importing a CSV file

 

1) Creating a new supply capsule

Step 1 : In order to upload a CSV file, go to the menu Configuration -> Files management -> Upload -> Supply Capsule : 

Step 2 : Then, click on "Uplaod file", "Create" and download the sample file :  

Step 3 : Fill in the file with the required information : 

  • source_ref_supply_capsule: fill in the source reference of your supply capsule (for example: delivery note number).
  • supplier_name : represents the supplier's name
  • supplier_code : represents the supplier code
  • expected_delivery_date: fill in this field to indicate a delivery date
  • source_ref : fill in the supplier's product reference
  • product_ref: fill in the product reference as it appears in your Shippingbo product catalogue
  • quantity: indicate the quantity of product expected
  • intended_for: enter the intended destination warehouse (only for accounts using Multi-Shippingbo)
  • supplier_id: (only present in the third example file) destination warehouse identifier.

 

CAREFUL

It is essential to respect the order of the columns and the names of the headings, as indicated above.
All columns must be completed.

Each supply capsule must have a unique "source_ref_supply_capsule" and "supplier_code" value.

A product line can only appear once per supply capsule.  

 

NOTE

You can indicate several lines with the same "source_ref_supply_capsule" if several different products are expected in this reception. 

 

2) Updating a supply capsule

In order to update a supply capsule, select "Update" and download the corresponding sample file :

 

CAREFUL

The supply capsule can only be updated if the reception has not started yet on the WMS account.

 

NOTE

If you have created your supply capsuke via API, you will directly fond it in the menu "Stock" -> "Supply capsule".

 

NOTE

For product_ref, you can only indicate product references, not batch or pack references.

 

Once you have retrieved your supply caspule from Shippingbo, you will find all the information relating to this latter in the supply capsule menu. 

  • State : state of the supply capsule ("waiting" by default, then you need to close it once you have restocked all the products from it).
  • Source reference (Delivery slip, Supplier order number)
  • Expected reception date 
  • Provider's name and code

If you click on the "+" sign on the left of the line, you will be able to check the exêcted quantity and the quantity received. 

 

Step 4 : In order to add stock directly from your supply capsule, click on "Add stock"directly on the ligne of the product :  

  • If you are not working with the advanced warehouse functionality, you will only have to write the quantity received and its targeted slot if it has one :

  • If you are working with the advanced warehouse functionality, you will need to enter the number of units of the product to be added and its warehouse slot :

NOTE

If you want a notification to be sent to inform the WMS account that a supply capsule has been created, go to the Configurations -> Logistics -> Supply capsule menu and tick the "Notify when supply capsule is created" option:

 

3) Deleting a product line in a supply capsule

To delete a product line from a receipt, select the "Destroy" option, then download the sample file to fill it in:

 

Creating a supply capsule when working in Multi-Shippingbo

To create a supply capsule for a multi-shippingbo account, the procedure is the same as for a non-multi-shippingbo account. You simply need to add additional information about the destination warehouse before clicking on "Validate":

 

NOTE

It is posible to modify a supply capsule already dispatched on your OMS account as long as the reception process has not started yet on the WMS account.  

To be able to do this, go to your seller's account configuration and activate the option "Authorize the modification of supply capsules already dispatched" : 

 

CAREFUL

Once the supply capsule has been dispatched, it is possible for the OMS account to cancel it under one condition:

- If the supply capsule is cancelled on the OMS account and that the reception process has not started yet, the supply capsule will be cancelled on the WMS account. 

- If the supply capsule is cancelled on the OMS account while the reception process has already started on the WMS account, the supply capsule will not be cancelled and an error message will appear.

- If the supply capsule is cancelled on the WMS account, the supply capsule will be cancelled on the OMS account. 

 

Deleting a supply capsule via API

It is possible to delete a supply capsule via API as long as the reception process has not started yet. For this, you can check out our API documentation here.
