CREATING STOCK WARNINGS

The aim of stock alerts is to let you know when the stock of a product falls below a defined threshold, so that you can anticipate stock shortages and limit the impact on your business.

 Stock alerts are based on the stock available for sale.

Activate stock alerts

 

To activate the feature on your Shippingbo account, go to the menu Configuration -> Logistics -> Stock warning : 

- tick the "Use stock alerts when stock is exceeded" option.

- define a default stock alert (not compulsory) which will apply by default to all your products affected by stock alerts.

- enter one or more email recipients if you want to be notified by email of stock alerts.

- tick the "activate automatic sending at regular intervals" option if you want to be notified of alerts at certain times of the day.

- tick the "activate automatic delivery at the same time every day" option if you want to be notified of alerts at the same time every day.

- you can also set the desired time zone in "Timezone" :   

NOTA

To receive the alert summaries by email, you will need to tick one of the last two options ("activate automatic sending at regular intervals" or "activate automatic sending every day at the same time") and enter your preferences. The first email may take up to 24 hours to be sent.

 

Activate / Deactivate stock alerts for a specific product

 

Once the feature has been activated, you can activate or deactivate stock alerts for a specific product either manually or by import if you want to activate them for several products at once.

- To activate it manually, go to the product sheet for the desired product, then to the "Stock warnings" tab and tick the "Activate stock alert" option :

 

Here, the default alert threshold appears, but you can define a specific alert threshold for the product : 

 

- To activate it by import for several products at once :

Step 1 : Go to Configurations -> File management -> Upload-> Stock alert :

Step 2 : Click on "Upload file" and download the sample file : 

Download the example file and fill in the required information: 

- productId: ID of the product concerned.

- enabled: enter "true" if you want to activate the stock alert for this product, and enter "false" if you want to deactivate it.

- stockThreshold : enter the specific alert stock here if you want a specific alert stock for this product. If you don't want to enter a specific alert stock, leave the box empty. 

 

Step 3 : Once your file is ready, click on "Drop or select a file" and then "Upload" to download it : 

 

How do alerts work ?

 

If a product's stock level falls below its defined threshold (strictly lower), it will be tagged as being on alert on its product page:

  • The "Stock Alert" tag will appear to the right of the title.
  • In addition, the date and time since which the product has been on alert will appear below the stock information.



CAREFUL

Stock alerts are only triggered when stock falls below the threshold.
If, at the time the threshold is set, stock is already at or below the threshold, no alert will be triggered.

 

NOTE

You can be notified of these alerts directly by email. 
If you want to receive these notifications, you need to enter one or more email addresses when you activate the feature (Configurations -> Logistics -> Stock alerts -> Alert recipient emails menu). 
Products with stock alerts will be included in the alert report: 

Moreover, you'll find a CSV file attached to the email, listing the products on alert with their stock levels, thresholds and suppliers.

The number of products on alert in your catalogue will be visible directly from your Products menu :
